Summit in a ballroom: main and side LED screens

A guide to planning a main LED screen, two side screens and a lighting truss for a summit and exhibition in a ballroom, so content reads across the room.

From Global Hydrogen Ecosystem 2026

Global Hydrogen Ecosystem Summit & Exhibition 2026 took place in Jakarta on 21 July 2026. The project photographs show a main LED screen and two side screens in the ballroom, plus a stage with a lighting truss. A summit with many panel sessions and presentations needs screens that read well from both the front and the back of the room. The sections below discuss how to set out screen and lighting needs for a similar event.

Decide what the side screens show

Side screens can mirror the main screen, show a camera feed of the speaker, or display session information. The choice affects the number of sources, switcher requirements and operators. In a long ballroom, side screens help guests at the back read slides and see the speaker's face. Decide early so content design, camera positions and cable routes can be planned together. Also note whether interpreting or captions need to appear on screen.

  • Mirror the main screen for slide legibility.
  • A camera feed of the speaker or panellists.
  • Session information, schedule or sponsor logos.

Lighting for panels and cameras

A lighting truss above or in front of the stage helps light speakers' and panellists' faces evenly. This matters when sessions are recorded or shown on side screens, since cameras need sufficient, consistent light. Make sure light does not spill onto the LED screen or wash out the content. Share the number of panel chairs, podium position and moderator area so the lighting can be planned. This also helps the event photography.

Separate summit and exhibition needs

Events combining a summit and an exhibition often use different areas on different schedules. The summit room needs a stage, screens and lighting for sessions, while the exhibition area follows each exhibitor's booth needs. State clearly which areas the organising committee handles and which the exhibitors arrange themselves. This separation makes it easier to work out installation time and crew numbers. Include exhibition opening hours if they differ from session times.

  • Separate plans for the summit room and exhibition area.
  • Session times, breaks and panel changeovers.
  • Responsibilities of the organiser versus exhibitors.

Send one clear summit brief

Combine the date, venue, access times, ballroom plan, session rundown, content list for each screen and lighting needs in one version of the brief. Separate essential items from additions still under consideration, such as extra screens or recording. Princess sales prepares a quotation after these details have been discussed, so the proposal follows your summit's format. Attach the on-site contact and any venue rules document as well. If anything changes after the brief is sent, update the same document so everyone works from the latest version.
