Waterfront fun walks: truss stage and dusk lighting

A guide to planning a truss stage, start gate, LED screen and lighting for an outdoor waterfront fun walk that starts in the afternoon and runs into the night.

From Funwalk Sunset at Sunset Pier PIK

Funwalk Sunset took place at Sunset Pier, PIK, on 16 August 2026. The project photographs show the start gate, truss stage and backdrop during setup, an LED screen at dusk, and beam lights at night. A fun walk in an open waterfront space involves weather, wind and changing light, all of which need planning from the start. Below are points to prepare for a similar event.

Allow for wind and weather

Waterfront locations tend to be windy, which affects the truss stage, backdrop, start gate and LED screen. Discuss ballast, tie-downs and suitable backdrop materials for open areas with the technical team. Prepare a wet-weather plan too, including equipment covers and agreement on who decides to pause the event if the weather turns. Monitor the forecast in the days before the event and pass any plan changes to the technical team.

  • Ballast and tie-downs for truss, gate and screen.
  • Backdrop material suited to windy areas.
  • Wet-weather plan and who decides on a pause.

Plan the change from afternoon to night

A sunset-themed event starts in daylight and ends in darkness. The LED screen needs to be bright enough in the afternoon, then adjusted at night so it does not dazzle. Stage lighting and beams only become effective after dark, so moments such as prize-giving or entertainment are best scheduled with sunset time in mind. Include estimated times for each segment in the rundown. Check the lighting as darkness falls if the schedule allows.

Lay out the start gate and participant areas

The start gate, stage and participant gathering area need to connect without blocking the walking route. Mark the start and finish points, registration area, stage position and loading vehicle access on the site plan. Note the power source, whether a generator or the site manager's supply, and where it is. Installation in public areas also often needs permits and working hours agreed with the site manager. Share the final plan with all suppliers.

  • Start, finish and fun walk route on the site plan.
  • Power source and generator or distribution location.
  • Permits and working hours from the site manager.

Send one brief for the outdoor event

Combine the date, location, site plan, access times, rundown with expected sunset timing, weather plan and stage, lighting and screen needs in one version of the brief. Separate essentials from additions still under consideration. Princess sales prepares a quotation after these details have been discussed, so the technical plan follows your site conditions and event flow. Attach the on-site contact and any venue rules document as well. If anything changes after the brief is sent, update the same document so everyone works from the latest version.
